Aalborg, DK and community partners make events more sustainable with a mobile power bank
Aalborg, university researchers, and private-sector partners spent a year evaluating alternatives to generators for outdoor events. The result of this collaboration is a compact trailer with an 80-kilowatt battery and nine exterior solar panels. This zero-emission power source can be pulled by most passenger vehicles and provides enough electricity for concerts and cultural festivals. Municipal officials first introduced the power bank for an October 2023 concert at Skørbæk Søpavillon.

Paris, IDF and Enedis reduce carbon emissions created by events with electrical terminals
Six electrical terminals will be installed throughout Paris ahead of the 2024 Olympic and Paralympic Games. Each in-ground terminal can be raised and lowered based on the needs of public event organizers. Terminals at the Trocadéro, Place de la Concorde, and Champ de Mars replace diesel-powered generators used in the past for mobile power. The project reduces carbon dioxide emissions by 90% compared to diesel and provides power for community events beyond 2024.

Helsinki, FI reduces the environmental impacts of events with its carbon footprint calculator
City officials worked with Sitowise on an easy-to-use calculator for event organizers. The calculator asks for user assessments of event impacts in areas like waste, procurement, and transportation. The resulting assessment helps an organizer identify high-emission activities or purchases that aren't essential to event management. Helsinki pursued this tool as part of its five-year plan for carbon-neutral festivals, meetings, and gatherings.

Melton, VIC develops new venue booking system for improved user and employee experiences
The previous system required multiple phone calls for each booking with 75% of contacts related to confirmations. Melton designed an online booking system that reduces personnel time and improves customer satisfaction. Event organizers find amenities and availability for each venue operated by the city. The system creates automated confirmations and simplifies bookings requiring multiple times or venues. City officials estimate AUD 160,000 per year in new revenue by maximizing facility rentals.

Western Downs, QLD Procurement Roadshow expands the list of potential vendors for council business
Western Downs scheduled four roadshows in August 2022 at locations throughout the region. Procurement Roadshow events establish the breadth and depth of opportunities for work with the council ranging from event catering to roadwork. Spokane, WA is charging public events reimbursement fees to offset public safety overtime costs
Spokane City Council approved an ordinance to change the reimbursement policy for public safety services performed at large public events. Starting in 2023, the city will start collecting reimbursement to offset the cost of overtime paid to Spokane police officers. According to the ordinance, parades will be charged with 25% of public safety personnel costs and all other events will be charged 75%.

The pilot offers support and training by Native Events for three summer festivals. Event staffers learn how to improve recycling habits and minimize waste. The Green Festivals Pilot Programme connects organizers with sustainable infrastructure like electronic ticketing and multi-use food containers. Participants also learn how to reduce paper waste with online promotions rather than printed posters. Council leaders will use experiences from the pilot across 60 annual festivals.

Alcorcón, MD created an "Escape Street" recycling awareness and citizen engagement event
Alcorcón City Council's Empresa de Servicios Municipales de Alcorcón (EMASA) partnered with the local company Escape Room Materia Gris to create the "Escape Street" recycling awareness event. The game was organized in the same format as an escape room but was deployed in the city's public plaza. Participants used their mobile phones to help them defeat the fictional villain TRASHMAN before he accomplished evil plot to bury the world under mountains of garbage and pollution.

The Municipality of Rafaela published an event calendar on the municipal website open to any local organization. The "Me lo agendo" application allows users to find the schedule for any activities, events, openings, and exhibitions taking place in the city. The application can be used as a dissemination tool by any local institution or organization by simply emailing event information to the municipality. The schedule can also be downloaded as the "Rafaela Ciudad" mobile app.

The Municipality of Reconquista launched a new free online tool to make registering an event in the city easier, paperless, and more accessible. Any company, club, institution, or individual looking to host any commercial or non-profit event in the city can obtain authorization fully online. The interested party must complete a specific form, attach a Sworn Declaration for each activity, and provide a brief review of the type of event at least 72 hours in advance to receive authorization.

Dallas, TX considers requiring event promoters to register with the city and develop safety plans
The Dallas City Council Public Safety Committee is considering the proposed Commercial Promoter Ordinance that would require event promoters to register with the city and develop approved safety plans. According to the proposed ordinance, event promoters that fail to follow these rules would be fined at least $2,000 per violation. Code enforcement and event service workers would monitor for unpermitted events to reduce violations and promote public safety.
